Your whole firm works from one portfolio. You do not create a separate portfolio per staff member. Instead you invite each person once, give them a role, then grant them access to the clients they work on.
Two separate things. Inviting someone to the portfolio lets them sign in as part of your firm. It does not show them any client data. Granting client access is a second step, done per client. This keeps each client's financial data visible only to the people who need it.
You need the Owner or Admin role
Have each person's work email address
Know which clients each person works on, and who owns each client
In your portfolio, go to Settings.
Under Users section, click Invite user.
Complete the User details.
Enter the email address.
Choose a role: Admin or Member.
Click Invite.
The person receives an email invitation. If it does not arrive within a few minutes, ask them to check spam, then contact support.
Go to Client Management.
Find the client and add the team members who should work on it.
Set the team member who owns that client. Most firms assign one lead per client.
Repeat for each client.
On Monitoring, Registrations, Filings, and the other portfolio pages, filter by the assigned owner to show only that person's clients. If someone manages ten clients out of fifty, this gives them a working view they can act on without scrolling past everyone else's.
Expected result: The team member can sign in to the portfolio, their role appears under Settings, and the clients you granted them appear in their view. Clients you did not grant do not appear.
A team member in the portfolio is not the same as a user inside a client organization. Portfolio team members work across the clients they are granted. Organization users see one organization only. Some tasks, such as connecting a Shopify store, require the person to be a user of that specific organization. See Add a Client Organization to Your Kintsugi Portfolio.
Client ownership is also how your Kintsugi contacts know who to reach out to about a particular client. Keeping it current saves everyone time.
To change a role or remove a team member, navigate to Settings, go to Users section, and Remove the user.
