How to Review Uploaded Exemption Certificates

Whether a certificate arrived through a single import, a bulk upload, or a customer request, it lands in the same place for review. Here is how to work through it with confidence.


Easy Steps

  1. Navigate to the Exemptions tab.

  2. Go to Ready for Review section.

  1. Click View to open the certificate you would like to review.

  1. Check the details Kintsugi has flagged, such as a missing field or a seller name that does not match your business.

  2. Decide on an action:

  • Click Approve if the certificate is valid and the customer match is correct.

  • Click Reject if a required field is missing or the certificate does not belong to your business.

  • Update the customer match first if Kintsugi could not confidently link the certificate to a customer.

  1. Repeat for each certificate awaiting review.


Understanding Common Flags

  • Missing required field: purchaser name, start date, signature, tax ID, or seller name was not found on the certificate. Without these, the certificate cannot be verified and should generally be rejected.

For this example, the uploaded certificate is missing the purchaser's name, and so Kintsugi Intelligence is not able to link it to a customer. Kintsugi recommends rejection for this one.

  • Seller name mismatch: the certificate was issued to a business name that does not match yours. This usually means the certificate belongs to someone else's records, not yours, and needs a closer look before you accept it. You may verify the certificate with your customer and ask them to resubmit a valid certificate.

  • Possible duplicate: Kintsugi has flagged a certificate that looks like one you already have on file. Confirm whether it is a genuine duplicate or a legitimate renewal before deciding.


Good To Know

  • Rejecting a certificate does not delete your customer's exempt status. It simply means this particular file was not sufficient, so you will want to follow up for a valid one.
