Tax authorities send several different kinds of notices, and the type tells you a lot about how urgent it is. This article helps you recognize each one at a glance.
A registration confirmation and an audit notice are both "a letter from the state," but they call for very different responses. Knowing which one you are holding helps you judge how quickly it needs to reach us.

What it is: Confirmation that your business is registered in a jurisdiction.
What it usually contains: Your assigned tax ID, your filing frequency, and your due dates.
Urgency: Low, but valuable.
These often carry details we need, particularly the filing frequency the state has assigned you, since it determines how often you file. Send it to us so we can check it against your account.
What it is: A prompt that a return or payment is coming due.
Urgency: Usually low.
Some are pure courtesy. Others carry consequences if ignored, and the letter itself does not always make clear which kind it is.
If Kintsugi files that jurisdiction for you, a reminder is normally nothing to worry about. Send it over anyway if you are unsure.
What it is: The state believes a return was filed late or not filed at all.
What it usually contains: Penalties, interest, or a demand that you file immediately.
Urgency: HIGH.
Penalties and interest may already be accruing. Send it to us promptly.
These sometimes relate to a period before you started with Kintsugi, or to a jurisdiction we do not file for. We will work out which and tell you.
What it is: Formal notice that a jurisdiction is opening an audit.
What it usually contains: Requests for transaction-level detail, exemption certificates, or copies of prior filings.
Urgency: HIGH.
Audits run on formal timelines. Send it to us the same day if you can, and say it is an audit in your message.
What it is: The state has concluded that you underpaid and is stating what it believes you owe.
What it usually contains: The amount due, plus interest and penalties.
Urgency: HIGH.
Do not pay it before talking to us. Assessed amounts are often wrong, or reflect a payment the state has not yet applied to your account. We will review the balance first.
What it is: A notice calculating additional charges, usually for a late payment. Sometimes it arrives separately from the notice about the underlying issue.
Urgency: Medium-High.
Send it to us, along with the earlier notice it relates to if you still have it.
What it is: Notice of a change in law or process that affects your filings, such as a rate change or a new form.
Urgency: Low. No action needed from you, though you are welcome to send it to us.
