Review your filing schedules, track what is due, and take action, all from one page.
Everything about your filings lives in one place in Kintsugi: the Filings page. This article shows you where to find a filing, how to read what it is telling you, and what you can do from there without needing to contact anyone.
Navigation path: Log in to Kintsugi > Filings
The Filings page is split into three tabs. Picking the right one is usually the whole job.
Tab | What is in it | Statuses you will see here |
|---|---|---|
Current Filings | Filings for the period that is open right now. This is where you land by default, because it is what needs your attention today. | Unfiled, Filing, Paused, Issue |
Back Filings | Returns for periods that have already closed. This is also where you request them: use Request Back Filings to pick the states and periods you want covered. Kept separate so they do not clutter what is due now. | Unfiled, Filing, Paused, Issue |
Filing History | Everything that is finished. Use this when you need to reference a past return. | Filed, Skipped, Cancelled |
There is no separate status dropdown anymore. The tabs are the status filter.
The Back Filings tab carries two columns you will not see on Current Filings: Estimated P&I, the estimated state penalties and interest on a late return, and Total to Pay, which combines that with the tax due. See How Kintsugi handles penalties and interest on back filings.
Each row is one filing for one jurisdiction and one period.
Column | What it tells you |
|---|---|
Country | Where the filing applies |
Jurisdiction | The specific state or region filing the return |
Frequency | How often you file there: Monthly, Quarterly, Semi-annual, Annual, or another cadence |
Period | The period being reported, shown the way states write it (April 2026, Q1 2026, H1 2026, 2026) |
Due Date | When the return is due to the tax authority |
Total Liability | What is owed for that period, in local currency |
Estimated P&I (Back Filings only) | Estimated state penalties and interest on the late return, with a tag showing whether Kintsugi remits it with the return or the state bills you afterwards |
Total to Pay (Back Filings only) | The tax due plus the estimated penalties and interest |
Status | Where the filing is in the process |
Two things worth knowing:
Hover over the Period to see the exact start and end dates behind it.
Your column preferences are saved. Adjust them once using the column control at the right of the header row, and they will be there next time you log in.
At the top of the Current Filings tab you will see your total tax liability across all open filings for the current period. It updates live as you filter, approve, or pause, so if you narrow the region to United States, the total reflects only your US filings.
Click anywhere on a row to open the detail sidebar. It shows:
Period Overview: jurisdiction, due date, period, transaction count, and transaction amount
Tax Overview: calculated tax, adjustments, fees, penalties, discounts, credit utilised, and total liability
Remittance Overview: tax remitted, return confirmation ID, and payment confirmation ID
Attachments: any documents associated with the filing
This is the fastest way to answer "where did this number come from" before you approve anything.
Note that once a filing is processed, the sales data for that period is locked and used as the basis for the return.
The two dropdowns in the top left filter by country and by jurisdiction. Both only show places where you hold an active registration, so you are not scrolling past states you do not file in. If you are registered in the US and Canada, those are the two countries you will see.
Click the Filters icon in the top right to open the filter panel, where you can set a custom start and end date.
If a past period was never filed, you can ask us to file it without opening a support ticket.
Navigation path: Log in to Kintsugi > Filings > Back Filings > Request Back Filings
Select each state you need, tick the specific periods under it, add a note if there is anything we should know, then click Submit Request. The returns are created on the Back Filings tab straight away, in Unfiled status, ready for your approval.
The periods listed for each state are the ones from your registration date that Kintsugi has not already filed. A state marked Not available has none left to request. Anyone in your organization can submit a request.
Submitting a request is not the same as approving. Nothing is filed and no money moves until you approve each return and accept the Back Filing Terms.
This flow covers US states only.
Hover the row you want and click Approve on the right side. Review the details in the pop-up, then confirm.
When a tab has unapproved filings, a banner at the top of the list shows how many there are on the page, for example "Approve 7 unapproved filings on this page?". Click Approve all in that banner to approve them together.
Once you confirm, the filings move to Filing status.
Back filings take one extra step, whether you approve one row or use Approve all. The Back Filing Terms open and you have to accept them before anything is submitted. They cover the 6 to 8 week timeline, how penalties and interest are handled, that Kintsugi remits from the bank account on file, and the fee per filing.
Approving is a one-way door. Once a filing moves to Filing status it is locked and the totals stop updating. If you think something was approved in error, contact us straight away rather than waiting.
Filings are generated on the 1st of the month and sit in Unfiled status for your review.
If your account is on AutoFile, which is the default, any filing you have not acted on is approved automatically on the 5th. You do not have to do anything for your returns to go out on time.
That gives you a simple decision each month:
Your situation | What to do |
|---|---|
Everything looks right | Nothing. Let it auto-approve on the 5th. |
You want it filed sooner | Approve it yourself at any point before the 5th. |
You need more time to review or correct something | Pause it before the 6th. |
One important exception: back filings never auto-approve. A back filing will sit in Unfiled status indefinitely until you approve it. If you requested past-due returns and nothing seems to have gone out, check the Back Filings tab first.
Pausing stops a filing from being auto-approved so you can review or correct it first. The Pause Filings button appears when it is before the 6th of the month and you have at least one filing eligible to pause.
Select the filings you want to pause, set a resume date, add a reason if you want one on record, then submit.
Paused filings stay on the Current Filings tab with a Paused badge. Hover the badge to see the resume date.
Two timing rules to keep in mind:
You can pause up to the 5th of the month
Your resume date can be set as late as the 15th of the current month
Pausing deactivates the automation for that filing, so if you pause it, you need to approve it yourself before the deadline. It will not file on its own.
Full instructions: How to Pause a Filing to Prevent Auto-Approval
Click Export in the top right to open the export modal.
You have two options:
Export Current Filings gives you a one-click export of all your active current-period filings, with nothing to configure.
Advanced Filing Export lets you choose exactly what goes in:
Country (multi-select)
Jurisdiction (multi-select, limited to your active registrations)
Date range (optional)
Status (multi-select, all statuses available)
Filing Category (Original Filings, Back Filings, or both)
Either way, the report is generated on our side and arrives in your email as an Excel file, usually within a few minutes. If it has not landed after that, check your spam folder before reaching out.
Status | What it means | Do you need to act? |
|---|---|---|
Unfiled | Created and waiting for approval | Optional. Approve it, pause it, or let it auto-approve. |
Filing | Approved and being submitted to the tax authority | No |
Filed | Successfully submitted | No |
Paused | You put it on hold | Yes, before the resume date you set |
Issue | Something is blocking it and we are already on it | Sometimes. We will contact you if we need something. |
Skipped | Intentionally not filed for this period | No |
Cancelled | Will not be filed, kept as a record | No |
For the full explanation of each status and what moves a filing between them, see Filing Statuses Explained.
Q: Where did the status filter go?
A: It is the tabs now. Current Filings covers Unfiled, Filing, Paused, and Issue. Filing History covers Filed, Skipped, and Cancelled.
Q: Why am I not seeing every state in the Jurisdiction dropdown?
A: The dropdown only lists jurisdictions where you have an active registration, so you only see places you actually file.
Q: What is the difference between Current Filings and Back Filings?
A: Current Filings are for the period that is open now. Back Filings are returns for periods that have already closed, either ones you requested from that tab or ones we flagged during a state portal review.
Q: How do I ask Kintsugi to file a period that was missed?
A: Open the Back Filings tab and click Request Back Filings. Pick the states and periods, then submit. The returns appear on the tab straight away for your approval. US states only.
Q: Can I undo an approval?
A: No. Once a filing moves to Filing status it is locked. If a filing was approved in error, contact us immediately so we can look at your options.
Q: Do I have to approve anything for my returns to be filed?
A: If your account is on AutoFile, no. Unfiled filings are approved on the 5th and go out from there. Back filings are the exception and always need your approval.
Q: Why does a filing show 0.00 in Total Liability?
A: That usually means no taxable transactions were recorded for that jurisdiction and period. The return still needs to be filed, since most states expect a return even when nothing is owed.
Q: Can I still pause just one filing?
A: Yes. The pause flow is a modal now, but nothing stops you selecting a single filing in it.
