How to Enter Customer Addresses Correctly in QuickBooks

Ensure valid address information flows into Kintsugi

When creating invoices in QuickBooks, the way you enter customer addresses determines whether Kintsugi can recognize and process them correctly.

If addresses are entered incorrectly, they may appear as “invalid” in Kintsugi. This usually happens when the address is typed directly into an invoice instead of being saved to the customer’s profile.


The Right Way to Enter Addresses

To make sure all address fields (street, city, state, postal code, country) are captured correctly:

  1. Save the address in the customer’s profile.

    • Go to the customer record in QuickBooks.

    • Enter the full address in the designated fields (Street, City, State, Postal Code, Country).

    • Save your changes.

  2. Select the customer when creating an invoice.

    • When you add the customer to the invoice, QuickBooks will automatically pull in the saved address details.

    • This ensures all address fields are correctly passed to Kintsugi.


What To Avoid

  • Do NOT type the address directly into the invoice.

If you manually enter an address while creating the invoice, QuickBooks sends it as one long text string. Kintsugi cannot properly separate this into individual fields, causing the address to appear invalid.


Troubleshooting invalid addresses

If you see “invalid” addresses in Kintsugi, here’s how to fix them:

  1. Update the customer’s saved address in QuickBooks.

    • Open the customer record.

    • Enter the full address into the correct individual fields.

    • Save the changes.

  2. Re-sync transactions.

    • Once the customer profile is updated, new invoices created for this customer will now have valid address data.

    • Existing invoices that already synced with an invalid address will still show the invalid entry. These need to be updated manually.

  3. Correct existing invoices if necessary.

    • Open the specific invoice in QuickBooks.

    • Remove the manually typed address.

    • Re-select the customer to automatically populate the correct, structured address fields.

    • Re-sync this invoice to Kintsugi.


Why this matters

  • Entering addresses correctly ensures smooth and accurate syncing between QuickBooks and Kintsugi.

  • This prevents recurring issues where the same customers’ addresses repeatedly show up as invalid.

  • Using structured fields (instead of free-text entry) also improves accuracy for shipping, tax, and compliance purposes.

Best practice: Always maintain complete customer addresses in the customer profile, not just on invoices.
