Virginia Credentials for Importing Registration

How to locate the state-issued credentials required to import your Virginia registration.

To import your existing sales tax registration into Kintsugi, you’ll need to provide a few details provided by the Virginia Department of Taxation when you registered your business. Virginia uses Virginia Tax for tax filing, payments, filing history, and business registration.


Required Credentials

When importing an existing Virginia sales tax registration into Kintsugi, you’ll need at least two things:

  1. Virginia Tax credentials (username and password)

  2. State Registered Business Name

  3. Virginia State Tax ID

  4. FEIN


What are my Virginia Tax credentials?

Your Virginia Tax credentials are the User ID and Password used to log in to your Business iFile account at the Virginia Tax portal.

When completing the Virginia AutoFile enrollment form in Kintsugi, here's how these map:

  • Business iFile User ID = State Login on the AutoFile enrollment form

  • Business iFile Password = State Passcode on the AutoFile enrollment form

Virginia's tax portal has a one-account-per-business rule: only one Business iFile account can be linked to a Federal Employer Identification Number (FEIN) at a time. This means there is a single set of login credentials (one User ID and one Password) that controls access to your Virginia tax account.

Kintsugi needs those credentials to access and manage your account on your behalf. However, it's important that the credentials you provide are specifically tied to your Sales Tax or Sales and Use Tax account under your Virginia Account Number. Virginia businesses can have multiple tax account types (payroll, corporate income tax, etc.), and credentials associated with the wrong account type won't give Kintsugi the access it needs to file correctly.

How to access my Virginia Tax credentials?

You should have access to your login credentials after setting up your Virginia Tax account for your sales and use tax. If you don’t have access to it, then you can reset it by going to the Forgot My Password page on the Virginia Tax portal. A temporary password will be emailed to you within up to 1 hour. When you log back in, you will be prompted to create a new permanent password before proceeding.


What is my FEIN?

Your FEIN is the nine-digit Federal Employer Identification Number (FEIN). 

Where to find my FEIN?

Your FEIN can be found on a number of official documents, including your original IRS EIN confirmation letter (CP 575 or 147C), previously filed federal or state business tax returns, or business records such as bank statements, payroll documents, and loan applications.


What’s my State Registered Business Name?

Your State Registered Business Name is the legal business name you registered in Virginia.

Where to find my State Registered Business Name?

You can find your registered business name on your sales tax certificate, notices, or correspondence from the Virginia Department of Taxation. You can also find it in the Virginia Tax Online Services for Businesses portal. Just look in your business profile or account details and print a copy of your sales tax certificate


What’s my Virginia State Tax ID?

Your Virginia State Tax ID is your Virginia Tax Account Number, which is assigned to you after you register your business. You’ll use it when filing sales tax returns, making payments, or contacting the Virginia Department of Taxation.

The account number is typically a 15-character tax account number formatted like this: 10-123456789F-001

Virginia Tax explains the parts as:

  • 10 = tax type code for Sales Tax (12 for Use Tax)

  • 123456789 = your 9-digit FEIN

  • F = indicates the number uses an FEIN

  • 001 = 3-digit business location code

Where to find my Virginia State Tax ID

You can usually find your Virginia State Tax ID / Virginia Tax Account Number in these places:

  1. Your Virginia sales tax registration paperwork. It should be listed on the documents you received after registering for Virginia sales tax.

  2. Your Virginia Sales Tax Certificate. If you registered to collect Virginia retail sales tax, your sales tax certificate should include your Virginia Tax account number. Virginia Tax says registered businesses can print a copy of their sales tax certificate through Online Services for Businesses.

  3. Virginia Tax Online Services for Businesses. Log in to your Virginia Tax business account and check your business profile, tax accounts, or sales tax certificate. Virginia Tax’s online business services allow businesses to manage business information and print a sales tax certificate.

  4. Previously filed Virginia sales tax returns. Your account number should appear on your Virginia Retail Sales and Use Tax return, such as Form ST-1.
